The Vehiso DMS App, Now on iPhone, iPad and Android: Run the Dealership From the Forecourt

Think about where your day actually happens, because that is where the Vehiso DMS app needs to be.

You are at the auction, a car you bought twenty minutes ago is on the transporter, and you want it in stock before you forget the details. You are on the forecourt with a couple who have just said yes, and the paperwork is on a computer in the office. You are in the workshop when a buyer's enquiry comes in about the Qashqai, and by the time you are back at a desk the moment has gone.

None of those jobs is hard. They just wait until you are back at the desk. And waiting is where details get lost, buyers cool off and deposits do not get taken.

The Vehiso DMS app puts those jobs where they happen. And it is now on Android, as well as iPhone and iPad.

The DMS, in your pocket

The app is not a cut-down companion. It is the same Vehiso DMS your team already uses, so what you do on your phone is in the DMS for everyone else. A car added at the auction is in stock when the office opens. A note added to an enquiry on the forecourt is there for the salesperson who picks it up next.

Here is what you can do away from the desk.

Add a vehicle in minutes

Enter a registration and the vehicle's details come back to you. Photograph it with your phone, set your price, and it is in stock.

That is the auction scenario solved. No scribbled notes on the back of the catalogue, no photographing the car on your phone and emailing the pictures to yourself later.

And if the signal at the sale is as bad as it usually is, you can start adding a vehicle with no signal. It syncs itself when you are back online.

For more on what a registration lookup brings back, see vehicle specification from registration.

Your stock at a glance

Every vehicle with its price, mileage, status and days in stock, searchable by registration. Open a record for the full specification, photos, costs and every document raised against it.

Days in stock is the number to keep an eye on. A trade contact rings asking what you have in, or you are walking the forecourt deciding what needs a price change, and the answer is in your hand rather than on a screen indoors.

Answer enquiries while they are warm

Every lead is in one list, with the whole conversation. Email or text the customer using your saved templates, add a note and book the test drive into the diary without leaving the record.

A buyer who hears back in ten minutes is a different buyer from one who hears back in three hours. If your salespeople are out on the forecourt rather than at a desk, that is where they should be able to reply from.

A diary that knows the context

Test drives, follow-ups, handovers and tasks, in day, week or month view. Each is attached to the vehicle and the customer it belongs to, so opening tomorrow's 10am handover tells you which car and which customer without a second search. There is more on how the diary works in our guide to the car dealer diary system.

Paperwork and payment on the spot

This is the one that changes a sale.

Raise an offer, an order form or a sales invoice. Send it for signature. Take a deposit or a full card payment. Email the order pack before the customer leaves.

The customer who said yes on the forecourt should not have to wait while somebody walks inside to find a printer. Agree it, raise it, sign it and take the deposit while you are still stood next to the car. If electronic signatures and online payments are new to you, those guides cover how they work in Vehiso.

Part exchanges, appraised properly

Photograph the car, record its condition and mileage, and attach the appraisal to the enquiry it arrived on.

That last part matters. The part exchange is not a separate scrap of paper, it is on the same record as the deal it belongs to, so whoever prices it or prepares it later can see what was said and what was seen. Our guide to the part-exchange process goes through the rest.

Vehicle health checks from the bay

Technicians get their own job board. They work through a health check, record tread depths and sign it off without walking back to a desk.

If you run a workshop, that is a lot of walking saved across a week, and the results are recorded at the car rather than written up from memory afterwards. It sits alongside the rest of workshop management in the DMS.

Built for how a dealership works

Every branch. Run several branches and switch between them from the header.

Light and dark. Use the app in light or dark mode, whichever suits the forecourt in bright sun or a dim corner of the workshop.

Six languages. English, French, German, Italian, Spanish and Dutch.

Phones and tablets. The app works on iPhone and iPad, and on Android phones and tablets. The Android app does the same jobs as the iPhone app, so your team can use the phone they already have.

Signing in

The app is for dealers and their staff who run their dealership on Vehiso.

Staff sign in with their dealer code, email and password. Your dealership creates staff accounts in the DMS, so there is nothing to sign up for in the app itself. Add a salesperson or a technician in the DMS as usual, and they can sign in on their own phone.

A few honest limits

It needs a paid plan. The app is free to download, but it works with paid Vehiso plans, not the Free plan.

The app does not create accounts. New staff are added in the DMS first. If someone cannot sign in, check they have an account there.

Offline is for adding a vehicle. You can start adding a vehicle without a signal and it syncs when you are back online. For everything else, plan on having a connection.

It is a tool, not a shortcut past your process. Raising an order form on the forecourt is quicker. It still needs the right price, the right customer and the right car on it, so check before you send it for signature.

Which plan it is on

The Vehiso DMS app is free to download from the App Store and Google Play. It works with any paid Vehiso plan, and plans start from £49 a month. It is not available on the Free plan.

Download it here:

If you are not on Vehiso yet, start a free trial, then download the app and sign in. The full comparison of plans is on the pricing page.

The jobs that used to wait for the desk do not have to any more. Read more about the Vehiso DMS app, put it on your phone, and add the next car before you leave the auction.
